The Personal Assistant is responsible for providing confidential secretarial, executive, project and administrative support to the General Manager - Logistic Vehicles, BU VSAP and General Manager – Weapons, Ammunition, and Protection. The PA may also provide support to senior VSAP-LOG staff as required from time to time. This includes acting as a key interface across a range of relationships with critical internal and external stakeholders such as Rheinmetall Executives, Defence and other customers and employees as well as supporting the major industry and corporate events as required.

The main focus of the role is around diary management, meeting preparation, travel and general office management.

This position would be well suited to a determined and resilient individual who is confident in juggling multiple priorities, is adaptable to last minute changes and demonstrates strong gatekeeping skills with a quiet authority.

The successful candidate will also supervise and support our lovely Business Support Officer and work with her to ensure that the office operates smoothly and efficiently.

As Personal Assistant & Office Manager, you can anticipate some of your day-to-day tasks to include:

  • Develop, implement and/or improve administrative systems, processes and procedures and guidelines to support two General Managers and the wider LOG Vehicles team;
  • Managing calendar of internal and external appointments/ meetings to ensure high priority communications are identified and actioned in a timely manner;
  • Organise and manage complex interstate/international agendas;
  • Organise and manage complex interstate/international travel and accommodation for General Manager’s, the Program Director – Logistic Vehicles and for visiting Executives when required;
  • Assist in the preparation and document management of briefing materials, official correspondence and proposals for consideration as required;
  • Liaise with executive level internal and external stakeholders (and their PAs) to organise meetings;
  • Coordinate documentation for management meetings and customer presentations;
  • Assist in event management of major/ corporate events and participating in relevant project work when required;
  • Draft “all staff” communications in consultation with General Manager;
  • Contribute to Melbourne office travel calendar on Sharepoint;
  • Document management on Sharepoint;
  • Arranging corporate credit card account purchases and expenses reconciliation for General Manager’s;
  • Meeting and greeting visitors;
  • General office management duties in consultation with the Business Support Officer; and
  • Other duties and responsibilities that may be required as determined with your manager from time to time.

About your new team

Rheinmetall Defence Australia (RDA) Melbourne office is comprised of teams that work across all RDA programs of work and service offerings in the APAC region. This role will support our General Manager for Logistic Vehicles and be the Office Manager for Melbourne.

The experience and skillset best suited to this role includes:

  • Experience in similar Executive/ Personal Assistant roles and providing support remotely;
  • Experience in organising meetings and corporate events, including preparation and distribution of papers;
  • Advanced MS Office Suite skills (PowerPoint, Office 365) and Adobe Acrobat;
  • Ability to deal with sensitive information with discretion and to maintain confidentiality at all times;
  • Advanced interpersonal, communication and customer service skills;
  • Comfortable working autonomously with minimal direction and within a geographically dispersed team;
  • Possesses high level of accuracy, attention to detail, organisational and time management skills;
  • Ability to travel internationally and interstate, when required; and
  • Must hold or be eligible to obtain an Australian Government Security Clearance (must hold Australian Citizenship).
