Team Planner

The Team Planner will provide an efficient, accurate and timely scheduling function to Primary connect and the distribution centre teams through the effective management of the workforce.

This role should work in collaboration with the Operations Manager to plan and transition from current performance to budgeted metrics and then deliver on further customer improvement initiatives to further improve operational performance. This role will be focused on reducing administration for the planning function, ensuring all data in the planning system is correct to provide operations with the most accurate and efficient labour plan to meet the needs of our customers. This role ultimately exists to create the labour plan in compliance with our policies, procedures, budgets and legislation also communicating to the workforce their weekly work requirements for shifts.

Responsibilities:

  • Calculate labour planning requirements based on volume forecasts and current work standards at least seven days in advance.
  • Implement the weekly labour plan through scheduling permanent employees and casual agency labour based on forecast volumes and work rates ensuring that administration is kept low by having an accurate base roster plan.
  • Setup new users into the system and maintain appropriate access for all current users.
  • Adjust and modify weekly labour plans based on variances in volume forecast and absenteeism.
  • Identify medium to long term skills shortages to be addressed by the training coordinator and create a long-term labour plan based on turnover and volume forecasts to identify when new starters will be required to be recruited.
  • Attend and prepare data for weekly planning meeting with site stakeholders and site labour agencies.
  • Generate and interpret the plans for the labour system and coordinate daily report, readjusting the plan as necessary.
  • Publish all roster plans for the following week by midday Friday inclusive of a formal handover process to operations.
  • Ensure that all labour planning plans adhere to EA conditions and EA documented off-sets are achieved.
  • Continue to work on and improve the base manning workforce model that optimises labour efficiency across all job functions.
  • Efficient onboarding of Primary Connect and Agency workers with new workers provided rosters meeting availability, compliance and maximum rostering.
  • Develop strong communication channels with the site teams to ensure forecasted volume required is met.
  • Demonstrate evidence of continuous improvement activities.
  • Work collaboratively within WFP team to ensure operational consistency across distribution centres


You will have:

  • Experience in a complex logistics or scheduling/planning environment.
  • Exceptional customer service skills, analytical and problem-solving skills.
  • Excellent communication and interpersonal skills
  • Ability to prioritise work, problem solve and work autonomously.
  • Demonstrated experience working in a multi-disciplinary environment and able to foster effective working relationships.
  • Ability to use initiative and work under pressure.
  • Proven experience in managing a workforce including the track record of building capability and communication with workers.
  • Demonstrated experience to work in a team, in collaboration with staff within the organisation and with external agencies and agency workers.
  • Advanced computer literacy, particularly in Excel/Google Sheets

This position supports our Dandenong and Mulgrave distribution centres and works alongside other team planners on site.
