The Role

The Facilities Coordinator will be responsible for working with, and providing a wide range of administrative support to the contract team including:

  • General administration and office management following system based processes, preparation of correspondence and filing system management;
  • Preparation and coordination of contract documentation such as manuals, procedures, internal and client reporting, meeting minutes as required;
  • Assisting the BGIS team with contractor management and compliance;
  • Allocation of work orders utilizing the Client Maintenance System (QFM) for preventative work, corrective and reactive work and system data as required;
  • Assisting the BGIS team with financial management of the Contract;
  • OHS & E policies and procedures are met and maintained by all stakeholders.

Skills and Experience

  • Minimum - Higher School Certificate or equivalent.
  • Relevant formal qualifications such as diploma or certificate equivalent in Administration or Management.
  • Strong demonstrated experience in a similar administrative role.
  • Demonstrated understanding of QA, OH&S and environmental systems.
  • Able to respond quickly to change and adopt a flexible/ innovative approach to problems and opportunities.
  • Demonstrated high quality written and verbal communication skills.
  • Demonstrated ability in providing written reports.
  • Essential current knowledge in computer software Word, Excel, Outlook (or related programme) and Internet access.
  • Experience in meeting minutes will be well regarded.
